Aspireseas (“Aspireseas”, “we”, “us” or “our”) is an overseas education and immigration consultancy operating as a sole proprietorship firm based in Jaipur, India. We help students and working professionals in India apply to universities and institutions abroad, prepare for entrance and English-language tests, arrange accommodation, and apply for student and immigration visas.
This Privacy Policy explains what personal data we collect, why we collect it, who we share it with, and the rights you have over it. It applies to our website at aspireseas.com and to the counselling and application services we provide in person, by telephone, by email and over messaging apps.
Please read this policy carefully. Because our service involves sending your information to universities, embassies and other organisations outside India, Section 5 (Who We Share Your Information With) and Section 6 (Transfers Outside India) are particularly important.
1. Who Is Responsible for Your Data

2. Information We Collect
2.1 Information you give us directly
When you complete an enquiry form, newsletter form or consultation request on our website, we collect:

- The service you are interested in (for example study abroad, test preparation, accommodation, immigration or visa services)

2.2 Information you give us during counselling and applications
If you go on to use our counselling or application services, we will ask you for the information that universities, colleges and visa authorities require. Depending on the country and course, this can include:
- Date of birth, gender, nationality and marital status
- Passport details and copies of your passport
- Academic records, mark sheets, transcripts, degree certificates and gap-year explanations
- English language or entrance test results, such as IELTS, PTE, TOEFL, OET, GRE or GMAT scores
- Curriculum vitae, work experience letters and statements of purpose
- Letters of recommendation
- Financial documents, such as bank statements, income proofs, loan sanction letters and sponsor details, where these are required to prove funds for a visa application
- Immigration and travel history, including previous visa applications, refusals and travel records
- Medical or disability information, but only where a specific university, visa authority or accommodation provider requires it
We ask only for what is needed for the specific applications you have asked us to help with.
2.3 Information collected automatically
When you visit aspireseas.com, our hosting provider and website software record limited technical information for security and reliability purposes, such as your IP address, browser type, device type, the pages you visited and the date and time of your visit.
3. How We Collect Your Information

- Through education fairs, seminars and events we attend or host
- From a parent, guardian, sponsor or family member who contacts us on your behalf
- From referrals, where someone you know shares your contact details with us so that we can call you
Where someone else gives us your details, we will tell you who referred you if you ask.

We use your personal data to:
- Respond to your enquiry and arrange a counselling session
- Advise you on suitable countries, institutions, courses and scholarships
- Prepare, complete and submit applications to universities and colleges on your behalf
- Prepare and support student visa and immigration applications
- Arrange accommodation and pre-departure and post-arrival support
- Register you for and support you through test preparation
- Keep you updated about your application status
- Send you information about our services, intakes, deadlines, events and scholarships, where you have asked to receive it
- Improve our website and services
- Meet our legal, regulatory and accounting obligations
- Establish, exercise or defend legal claims
We process your personal data on the basis of the consent you give us when you contact us or engage our services, and, where applicable, to perform the services you have asked us to carry out and to comply with law. You may withdraw your consent at any time, as described in Section 10.
5. Who We Share Your Information With
Providing our service necessarily involves sharing your information with organisations outside Aspireseas. We share your personal data with the following categories of recipient:
- Universities, colleges and educational institutions in the countries you have asked us to apply to. This is the core of our service: an application cannot be submitted without sending your personal and academic information to the institution.
- Embassies, consulates, high commissions and visa processing centres (including outsourced partners such as visa application centres) where a visa application requires it.
- Accommodation providers and student housing operators, where you have asked us to arrange accommodation.
- Test and examination bodies, where you have asked us to register you for a test.
- Education loan providers, banks and financial institutions, where you have asked us to support a loan or funding application.
- Travel, insurance and forex providers, where you have asked us to arrange these.
- Service providers who support our business, such as our website hosting provider, email provider and IT support, who process data on our instructions.
- Professional advisers, regulators, law enforcement and courts, where we are required or permitted by law to disclose information.
We do not sell your personal data. We do not rent or trade your personal data, and we do not share it with third parties for their own independent marketing purposes.
6. Transfers Outside India
Because we help you apply to institutions abroad, your personal data will be transferred to and processed in countries outside India. Depending on where you choose to apply, this may include the United Kingdom, the United States, Canada, Australia, Germany, New Zealand, Japan, South Korea, France and the United Arab Emirates, among others.
Data protection laws in these countries may differ from those in India. Where we transfer your information, we do so because it is necessary to deliver the service you have asked for, and we share only the information the receiving institution or authority requires. Any transfer is carried out in accordance with applicable Indian law, including any restrictions notified by the Government of India under the Digital Personal Data Protection Act, 2023.
If you would prefer that we do not send your information to a particular institution or country, please tell us. We will respect that instruction, but it may mean we are unable to progress that application.
7. Cookies and Website Technologies
Our website uses a small number of cookies and similar technologies:
- Essential cookies, which allow the website to function, remember your preferences and keep the site secure.
- Performance and caching technologies, which help pages load faster.
- Web fonts, which are loaded to display the site’s typefaces. Loading fonts from an external font service means your IP address is visible to that service.
You can block or delete cookies through your browser settings. If you block essential cookies, some parts of the website may not work correctly.
If we introduce analytics or advertising tracking in future, we will update this policy before doing so.
8. How Long We Keep Your Information
We keep your personal data only for as long as we need it:
- Enquiries that do not proceed: normally up to 24 months from your last contact with us, so that we can help you if you return to us for a later intake.
- Website enquiry forms: submissions made through our website are delivered to us by email and are not stored in a database on the website itself. They are retained as part of our email records for the periods described above.
- Active and completed applications: for the duration of your application and for a reasonable period afterwards, so that we can support you with visa renewals, further study, appeals or queries.
- Financial and accounting records: for the period required by Indian tax and company law.
When we no longer need your data, we delete it or remove information that identifies you. You may ask us to erase your data sooner, as described in Section 10.
9. How We Protect Your Information
We take reasonable technical and organisational measures to protect your personal data, including encrypted connections to our website, access controls limiting who within Aspireseas can view your files, and secure storage of physical documents at our office.
No method of transmission or storage is completely secure. We ask that you do not send sensitive documents such as passport or financial records over unsecured public channels, and that you share them with us directly instead.
If a data breach occurs that is likely to affect you, we will notify you and the relevant authority as required by law.
10. Your Rights
Under the Digital Personal Data Protection Act, 2023, you have the right to:
- Access a summary of the personal data we hold about you and how we have processed it.
- Correction and completion of data that is inaccurate, misleading or incomplete.
- Erasure of your personal data, where we are not required to keep it by law or for an ongoing application.
- Withdraw consent at any time. Withdrawing consent does not affect processing already carried out, and may mean we can no longer act for you.
- Nominate another person to exercise your rights on your behalf in the event of your death or incapacity.
- Grievance redressal, by raising a complaint with us using the details in Section 13.

11. Students Under 18
Some of the students we advise are under 18 years of age. Where we know that a student is a child, we will process their personal data only with the verifiable consent of a parent or lawful guardian, in line with the Digital Personal Data Protection Act, 2023.
We do not knowingly carry out tracking, behavioural monitoring or targeted advertising directed at children. If you believe we have collected a child’s information without proper parental consent, please contact us and we will delete it.
12. Links to Other Websites
Our website and our communications may contain links to university websites, embassy and visa portals, test providers and other third-party sites. We are not responsible for the privacy practices or content of those websites. We encourage you to read their privacy policies before providing your information.

We may update this Privacy Policy from time to time to reflect changes in our services, technology or the law. When we do, we will revise the “Last updated” date at the top of this page. If the changes are significant, we will take reasonable steps to notify you directly.
